Challenge

The Neighborhood House is funded by multiple government entities, each requiring the use of different reporting and tracking systems. To improve reporting and analysis across programs, the organization transitioned from Social Solutions ETO to Salesforce.

However, navigating Salesforce directly was difficult for both staff and volunteers. Without a consistent process for data entry, users were required to move through multiple Salesforce screens to complete tasks, increasing the risk of missing data and inconsistent records.

Volunteer hour tracking became a major administrative burden. Only the Volunteer Director could enter hours into Salesforce, creating delays and weeks of backlog as submissions had to be collected and entered manually.

Across other programs, intake processes still relied on paper forms, spreadsheets, batch uploads, and manual field mapping. In the The Teaching Kitchen® program, client data was spread across multiple form tools and Salesforce, making it difficult to maintain a complete view of participant information.

The organization also struggled with document generation for client face sheets. Existing outputs were poorly formatted, leading staff to rely on handwritten documents during audits and emergency situations.

Solution

The Neighborhood House implemented Titan Enterprise Suite to create intake, submission, and tracking processes connected to Salesforce in real time, without requiring staff, volunteers, or clients to navigate Salesforce directly.

For volunteer intake, Titan replaced a disconnected application process with a multi-page web form that creates both Contact and Volunteer Application records in Salesforce while automatically notifying the volunteer director with full applicant details.

For the ESOL program, Titan enrollment forms were built in three languages and synced directly with Salesforce, replacing manual intake processes and disconnected form tools.

Titan attendance and timesheet forms now allow volunteers to submit hours in real time on the day they volunteer. Using Salesforce lookups and fetch functionality, submissions are automatically linked to the correct records without requiring users to log in.

For social services staff, Titan introduced a bulk case note submission page that allows multiple case notes to be submitted in a single session without opening individual Salesforce records.

In the The Teaching Kitchen®  program, customized links tied to Salesforce records allow staff to send clients pre-configured forms that automatically write submitted data back into Salesforce.

Titan Document Generation was also implemented for client face sheets, allowing staff to generate formatted documents directly from Salesforce instead of relying on handwritten copies during audits or emergency situations.
