AusDilaps Saves Nearly 1000 Hours a Year!

Founded in 2010, it focuses on providing customers with the best dilapidation reports, equipment, and speedy turnaround times to support construction risk management practices.
Unpacking our Customer: AusDilaps
AusDilaps specializes in assisting multiple civil engineering tasks, such as dilapidation reports, document preparation, structural engineering, and more. For this reason, they had a lot of administrative tasks to perform on a daily basis. As you can imagine, these tasks, which were linked to Salesforce, slowed down the company’s overall processes.
They have 10 field staff on the ground and 25 remote staff working around the world, primarily inside the Salesforce org. Across the business, there’s a constant need for documents to be generated from Salesforce. Whether it’s access letters that they hand out in person to each one of the thousands of properties they work with in a year, or updating clients about the overall status of a project based on the progress of dozens of work order records – manually preparing tens of thousands of documents per year based on Salesforce data was a huge bottleneck for AusDilaps’ productivity.
The Everyday Problem for AusDilaps
One of the issues that AusDilaps needed to tackle was a way to merge documents in their Salesforce org across the team because it was taking thousands of hours per year across the company to complete these tasks manually. Collectively, employees were manually filling out templates by copying and pasting Salesforce data which left room for high error rates.
So, they wanted to integrate that process into Salesforce and automate it. The goal was to accomplish this in a year. They initially looked to a Titan competitor and struggled with the interface.
AusDilaps Gets More Efficient with Titan
Like many businesses, they stumbled into Titan. After AusDilaps played around with our software, they found that, from a user experience and onboarding point of view, along with Titan Academy, the company could get up to speed and run quickly.
So AusDilaps dived right in:
- They got 2 key documents designed in Titan, which, after a single year, resulted in preparing over 2500 documents per month across their team of 20 employees.
- AusDilaps now has 10 to 15 document templates across five different departments running off Titan and generated documents.

Results from Integrating Titan with Salesforce
AusDilaps started with only one or two documents in mind, and rapidly, they found other ways to automate processes. After a year, according to their most recent calculations, they have already saved the equivalent of 3 – 4 months of wages of a full-time employee from the time of implementing Titan.
Now, Titan logs the addresses in the Salesforce system, and AusDilaps can bulk generate access letters with three or four clicks instead of writing and copy-pasting addresses one by one into 100 Word templates per week.
Bulk generation on that one document has a massive ROI.
AusDilaps also generates 150 quotes or so a month from Salesforce. They need to customize dozens of things for each quote, like addresses and all sorts of data that were originally moved around manually in the Word template. Now, AusDilaps clicks a generate button, and a perfectly complete six-page quote document containing data from Salesforce spits out.
They also have complex project status reports that pull data from dozens of different records in their Salesforce org. These reports allow AusDilaps staff to provide a real-time, comprehensive overview of the progress of a project to their clients in a few clicks, rather than manually compiling data that would otherwise take 20+ minutes to prepare.

With Titan, the new process is to click a button, which generates a status report in Salesforce. The report consists of the different access elements and the status of the different properties. All this Salesforce data gets pulled into one tight little report. AusDilaps wasn’t capable of doing this before, and if they tried to do something like this manually, it could take an hour per document due to the amount of liaising across departments that needs to be conducted.
Now, AusDilaps sets their template; that’s where the bulk of the work is, and then any team member can click a button in Salesforce and generate something really complex in a minute. The employees do not have to worry about where the information comes from and can confidently send the documents to their clients.

Future Projects for AusDilaps
AusDilaps loves Doc Gen even more than they expected. They initially wanted to build a client portal on the back end of their website that plugs into Salesforce and allows a login interface for clients to access the information that they are now generating in a document.
Titan offers products that fit these needs and AusDilaps wants to use our no-code platform to build web apps.
Titan Sign seems attractive as well. The company is still signing PDFs manually, so AusDilaps wants to adopt more Titan products as it grows.
