Challenge

Adopt A Class operated with fragmented and unreliable Salesforce data, with key processes dependent on a hard-coded Apex form that required developer support for even minor updates.

There wasn’t a structured way to capture post-visit data, collect and maintain volunteer demographics, or manage agreement signing through a connected workflow. Critical information lived across emails and disconnected systems, making it difficult to track or report.

The Career Connected Field Trips program introduced even greater complexity. Program managers relied on multiple spreadsheets to coordinate site capacity, grade-level eligibility, transportation logistics, and scheduling. Preventing conflicts, managing availability, and keeping stakeholders aligned became increasingly difficult as the program scaled.

 

Solution

Adopt A Class implemented Titan Experience Studio to replace spreadsheet-driven processes for visit tracking, volunteer management and field trip coordination.

Volunteer team leads now log classroom visits through a portal, capturing visit details, engagement metrics, and teacher responsiveness. Issues trigger automatic staff notifications, with all data written directly to Salesforce.

Volunteers sign safety agreements and submit demographic information through a secure SmartV-powered portal, with all data feeding directly into Salesforce.

For Career Connected Field Trips, a reservation system built on forms manages site capacity, eligibility, and logistics. Teachers receive personalized links showing only available trips. Submissions are validated in real time to prevent overbooking. Notifications are automated, and a centralized calendar gives full visibility into upcoming trips and participation.
