1. Heading: Start with a clear heading that states the purpose of your letter and lists the parties involved. 
2. Introduction: Start your letter by addressing the recipient. 
3. Body: State the purpose of the letter and provide any detailed information. Make sure that explanations are included if they are required. 
4. Closing: Conclude your letter and sign off with a polite thank you. 
5. Signature Block: You will need to leave space for each signature of the parties involved including space for the printed name and the date. 
6. Notary Section: Each document will need to include a section for the notary public, it usually includes space for a signature, seal or stamp, their commission number, and the date the document was notarized.

How to Get a Letter Notarized?

Now that we know what to include in the letters as well as have a basic template, let’s go through the general process of getting the letter notarized. 

First, you need to prepare your letter. Make sure you leave enough space for signatures and leave enough space for the notary to add their acknowledgment. 

Next, find a notary public in your area and set up a meeting. Notaries are found in various locations such as government offices, law offices, banks, and more. Make sure the notary is authorized to notarize your specific document in your jurisdiction. 

When it’s time for the document to be notarized, ensure you bring the necessary identification documents with you. This is crucial as the notary will need to verify your identity. 

In the presence of the notary, you will sign the letter in the indicated fields and add the date. Some jurisdictions may require the notary to be present for the entire process while others may accept a pre-existing signature on the document. 

The notary will then verify your identity using the identification documents and ask you to swear an oath or affirmation that the details of the document are true. Once the notary is satisfied, they will then add their signature as well as their official seal or stamp.

When creating a notarized authorization letter ensure you know what type of authorization you are granting. Keep in mind that some authorizations will be ongoing unless you cancel them in writing, so ensure that you include an end date in the document if it is required.

Notarized Letter of Guardianship

If you are set to be the guardian of a minor for any purpose, you will need to provide a legal notice for a variety of reasons including applying for financial support during the guardianship. These documents do require special supporting documentation and we recommend that you pay special attention to your local jurisdiction. 

I, [Your Full Name], hereby declare that I am the legal guardian of [Minor’s Full Name], who was born on [Birthdate]. This guardianship has been established and recognized by the relevant legal authorities in [City/State/Country] on [Date of Guardianship Order].

This letter is provided for the purpose of confirming my legal guardianship of [Minor’s Full Name]. I understand that this letter may be used for various official or legal purposes, and I am willing to provide any additional information or documentation as required.

Letters of consent can vary from releasing your private information for specific processing or granting permission consent for a minor to travel. Again, this letter type may require you to stipulate and end date.
