90%+ Drop in NewSchools’ Grant Applicants Technical Inquiries

NewSchools used a separate tool to support its grant application process, yet as its model evolved, the organization needed more flexibility to manage its grant application process. Applications were long and complex, with different paths for schools and other applicants, while NewSchools still needed complete application data to help the nonprofit manage grants.

The team needed save-and-return functionality, prefilled Salesforce data, conditional sections, and complex branching, with in-progress work preserved inside Salesforce. They also needed greater control over look and feel, stronger Experience Cloud support, and the ability to create related Salesforce records during the application process.

Annual audits added another requirement. Supporting documents, application data, and related records needed to remain compliant, easy to find, and simple to reference whenever auditors requested information on a grant.

With Titan Experience Studio, NewSchools brought its grant application experience inside Salesforce. Applicants can move through different paths based on user selection, see only relevant sections, have organization data prefilled from Salesforce, and use Salesforce forms with a save-and-return option to pause and continue without losing their work.

NewSchools built a K-12 education grant application portal on its Experience Cloud site using Titan Lightning Web Components. Instead of maintaining separate forms, the process runs as a single project with branching logic, with record IDs routing users to the correct experience and eligibility criteria changing by applicant. Related Salesforce records can be created during the process, while supporting documents stay linked to the relevant records for document storage and audit compliance.

Titan also lets NewSchools reassign in-progress applications without recreating Salesforce data and use an intake form with encrypted links in Salesforce records and email templates for secure file submission and information confirmation. After consulting partner Agile Cloud evaluated Salesforce grant management software for nonprofits, Titan stood out for its support for complex inbound applications, Experience Cloud, and Salesforce record-sharing and access rules. Titan’s Experience Cloud integration keeps application data inside Salesforce while giving NewSchools visibility into applicant progress and where support is needed.

Fewer Than 10% Technical Inquiries
In the first year, technical inquiries about registering for and using NewSchools’ no-code grant portal fell to under 10%, with fewer applicants requiring support to access the grantmaking software.
