Introducing Titan Survey
Did you watch our special webinar on Titan Survey? If not, don’t worry. We have a summary below if you prefer to catch up on the session’s key points.
The webinar was held on YouTube on 7th July 2021 to introduce Titan’s latest product offering.
Let’s Get Started with Titan Survey
Titan Survey is a brand new survey builder tool that is part of the family. It’s only one tool in the Titan platform, but we have released many features, with more coming soon. So, follow our social media channels at the bottom of the article to keep up to date with our latest releases.
The purpose of Titan Survey is no configuration! Please continue reading to discover what this means as we elaborate on Titan Survey’s impressive features.
A few of Titan’s partners had reached out in the last few months asking for a low-code survey tool. With a no-code solution that customers crave, an admin needs to know the objects, the field configurations on Salesforce, and so much more. Sometimes, it takes a great deal of time, effort, and resources to set up the configuration.
Titan has listened and decided to deliver an out-of-the-box survey tool solution. The survey tool from Titan encompasses no code and no config!
The most exciting part is that there is a deep dive into what no config means in Titan Survey.
Webinar Program
Here is a glance at the topics covered in the agenda for the Webinar:
Beginning with Titan’s Web Survey
Generally, a web survey is like a web page. A recipient receives a link via email, SMS, or even WhatsApp. It can be clicked to open a web page and view a survey. This essentially is the process of a web survey and is the first feature Titan showcased in the webinar.
Where to Find Titan Survey?
In the Titan dashboard, clicking on the left-hand side panel will show the Survey tool. Notice the other products that we provide, which include Titan CLM, Forms, Sign, and Web.
You will be familiar with these products if you are subscribed to the Titan platform.
Navigating Titan Survey
Amit kindly demonstrates how to open up an existing web survey constructed for the webinar to see what the tool encompasses.
The left-hand side of the tool contains all the survey slides, and the right-hand side provides the layout. Amit explains that by clicking the Start button on the first slide, users may interact with the slides and questions in a survey. Amit has also displayed how to move the slide order around in the webinar with the easy drag-and-drop functionality of Titan Survey.
During the demonstration, Amit showed viewers how to add a new slide to a survey. The process was simple and consisted of just one click on the + icon. Upon adding a new slide, admins may add questions to the survey.
Another feature Titan provides for Salesforce surveys is cloning an existing survey for simple editing. This feature can be accomplished by clicking the Project tab and selecting Duplicate Survey in the drop-down menu. Viewers watched how to enter a new project name for a cloned survey and click the Clone button to complete the process.
Amit reminds viewers that Titan surveys can be added to websites or sent as links per your business requirements or convenience.
Configuring a Titan Web Survey
Some of the attributes on a cloned survey are no-code. The only items that need configuring for a Salesforce survey include adding questions, adding multiple media, or customizing your design.
One of the advantages of utilizing Titan Survey is that when you click on the Add Question button on a survey project, you will have access to multiple question types. All entities within Salesforce are supported in Titan and across all our products. The choice is yours! Go ahead and add one question or multiple questions at the same time to your Salesforce surveys.
Here is a list of some unique questions that you can add to your Titan survey:
Titan also provides other miscellaneous elements for your survey, such as:
Once you have inserted your questions into a survey, you can browse through your questions gradually on each slide. Next is to map your Salesforce data to your survey without any configuration! With Titan, there is no Salesforce configuration whatsoever. All configuration is automatic and done for you. The only thing you are responsible for in the Titan process is arranging your design and elements for the survey.
When you are ready to publish your survey, Titan provides an option to choose between many different distribution methods. For your convenience, Titan has created a stepper UI feature that consists of different sections to help you complete your web survey distribution process. The sections include:
In his demo, Amit shows viewers how an admin would set up the survey for distribution with this easy interface. To see the demo in action, make sure to watch the webinar.
Type
For this example, Amit will choose the Object distribution method to showcase how to publish a survey.
Config
After choosing the Object distribution method for the survey, the admin needs to select the Object in Salesforce and Choose a Record ID from the drop-down menus. In this example, Amit has chosen contact as the Object in Salesforce, but you may go ahead and choose any object for your project. Amit has chosen the Contact ID record to distribute the survey for the Record ID selection.
Condition
Titan allows admins to add conditions to their distributed survey by clicking the Next button. You can add and specify as many criteria as you want. Titan allows you to set up your conditions with the following elements to fill out:
Amit has set up a single criterion in the condition section for the survey distribution: “Email must equal [email protected]. “
Viewers can easily see that Titan has a very smooth-running user interface in the demo presented by Amit.
Method
Clicking on the Next button brings up the method section, which gives admins three options to choose from when distributing a survey:
In this example, Amit has chosen the Mail icon and clicked on the Next button to access the Content section for distributing a survey.
Content
Move over to the content section when your survey is ready to be sent to all customers.
For your convenience, Titan includes a Salesforce Email template or a Custom Email template. Admins can use the Custom Email template to create a new email template with Titan’s editor. Use the editor to fill in the Subject field and select any Salesforce fields needed to customize and personalize an email before distribution.
Remember to insert the Web Survey URL in this section and click the Next button to navigate to the following email section.
The Email section is where you can test your email list. You might use List View, Reports, or Single Entity, but Titan highly recommends doing a test for safety and accuracy before distributing your survey to customers.
Once you have entered the details for the Record ID and the Enter Email Address fields and tested your survey by clicking on the Send Test Email button, you may click on the Next button.
Send
The Send section is the last container of the stepper to fill out before distributing your survey. Proceed by filling out the Survey Result Recipient and Comment fields.
Now you have two options to choose from within the Send section:
Choosing the Schedule Date option allows an admin to send a survey to a region in the world based on the time zones that best fit the recipient. The primary purpose of surveys in Salesforce is to receive high response rates.
For example, If a survey is sent to a recipient at night, they will only check their inbox the next day. The recipient will most likely miss or lose the survey with multiple emails stacked in the inbox.
A good strategy is to send a survey at a specific date and time. Choose a moment that you can assume when the recipient will respond. For instance, before or after lunch could be the best time.
The true power of the scheduling system allows you to set up a date, time, or both and send a survey when you want. In the example, Amit has chosen to send the survey immediately by selecting the Send Now option and then clicking on the Send button.
Interacting with the Titan Web Survey
Titan sends the survey link to a recipient, who can then click on the URL to fill out the survey. In our example, Amit sent the link via email. As Amit demonstrates, interacting with the survey is simple and engaging. Survey takers can answer all the different types of questions digitally.
Take note of the bottom left section of the survey. Titan provides a percentage calculator that calculates how far a survey taker is throughout the survey journey.
It is essential to show this calculation as responders may be impatient and need to complete the survey quickly. As viewers saw in the webinar, Titan provides a polished user experience due to the well-organized layout, streamlined user interface, and responsive designs available for tablets, mobiles, and many more supported devices.
The final survey step is for the responder to click the Submit button to return their answers to Salesforce.
What does the data look like in Salesforce?
Titan automatically creates the objects and records for you and pushes all your completed survey answers to Salesforce. Here is a list of the kinds of data that will be available from a survey in Salesforce:
With Titan Survey, you do not have to do any manual data entry into Salesforce. Titan pushes all the data to Salesforce and creates records. Your only job is to look at what’s added to Salesforce from your distributed surveys.
The main takeaway is that Titan Survey is excellent at building professional surveys ready to go in under 5 minutes!
You might want to consider using Titan Web or Titan’s form tool to create smart surveys, but these options will require all the magical work of the configuration and setup.
Some key features from Titan Web Survey
Smart V
If you want to protect sensitive data and have your surveys accessible to a specific audience, Titan recommends using the SmartV offering.
SmartV allows a business to send a survey to a survey taker. When the recipient clicks on the link, they will be required to add an email address and provide a 2-factor authentication code sent to their email. Only once these pieces of information have been provided can the recipient log in and access the survey.
An added benefit is that you can configure SmartV on any object you like. Security is paramount in this scenario, and Titan gives you this ability if required.
Time Limits
Another feature Titan provides is Time Limits, which admins can use to create tests or fast quizzes.
Titan tracks a survey’s start and finish times for your convenience, such as using Time Limits to ensure your survey is available from a particular time and has been completed by a set end date. You can now make sure that everyone completes a survey within a specified time frame with the Time Limits feature.
Pushing Data to Salesforce
You can push respondent answers to Salesforce at the end of the survey or push them per slide.
If you have a very long survey and are afraid of losing data, you can push data after every slide or question. If you have a short survey, you may push data when the survey is complete.
A Few Extra Features at a Glance
There are many features available with Web Survey, which we cannot discuss in this article and webinar. Please head to the Titan Academy if you are curious and want to know more about our products. You will find videos in our library explaining the cause and effect of any feature you are interested in.
Titan’s Sharp Email Surveys
The next topic in the webinar focuses on email surveys.
Use email surveys from Titan to improve your response rates, especially If you have simple surveys. An example of a simple email survey is a survey that consists of one question that is distributed after an appointment or a service from a business. Common questions might include:
Titan has provided a solution to businesses by embedding a simple survey directly into an email client. The respondent will receive an email and respond to a survey question inside the email instead of clicking on a link to open up a web survey.
Email surveys follow the same method as web surveys. Your only responsibility is to set up the email address.
The number one reason why this tool is popular amongst customers is that everybody can work with the tool.
For example, anyone in your company can use the Titan Survey tool. Admins do not need to have any Salesforce knowledge; they can install Titan Survey and start building some excellent surveys immediately.
Access to faster survey data in Salesforce is critical to companies!
Seamless Attributes in Email Survey
When you click on Titan Survey, you have access to two types of surveys to create:
Creating a new email survey is simple, with two steps.
First, select a theme for your survey, and then give your project a name before clicking on the Let’s go! button.
Titan Survey will then direct you to your survey template, which is easy to set up. You can add text or media, such as an image. By adding a picture, you may choose an image from the library, upload a personal image, or even link the survey to an image.
Amit shows viewers how to create and style an email survey from scratch. Here are a few features to utilize in email surveys:
Once you have had fun styling and designing your email survey, ensure you complete your survey with a Finish slide. A Finish slide is essential to signal that a respondent has completed the survey. An admin may design the Finish slide with all the features and elements available for email surveys.
When your content for the survey is ready, you may go ahead and publish your email survey. Once again, there is a beautiful Distribution feature from Titan to help you comfortably send out surveys. The steps include:
Type
Under the Type section, there are different distribution methods, but for Amit’s example, he has chosen the Object method again.
Config
In the Config section, we need to select an Object from Salesforce, Record ID, and Email from the drop-down menus.
Condition
In the Condition section, for Amit’s demo, he has chosen to test the condition by filling out the Field, Operation, and Value fields. Upon clicking the Test Condition button, Amit could show viewers in real time that Titan has returned the Record ID of the record.
Clicking the Next button takes viewers to the Email section, where Amit dynamically edits the subject header.
This feature allows admins to pull any field from any object in Salesforce into a dynamic subject. This personalized user experience is used for cases where you would like to type in a personal message for a customer.
Please note that admins can dynamically personalize everything in the Survey tool from Salesforce based on a variable or even conditional logic. Once you have added the subject, you can progress by clicking on the Next button.
Send
In this section, fill out the Survey Result Recipient and Comment fields. Remember to test your survey and select the Schedule Date or Send Now option.
Amit has chosen the Send Now option and clicked the Click to Send button to distribute the survey immediately. In the meantime, Titan will create the objects and records for you in Salesforce. In this example, Titan will also send the email survey to an email address.
Interacting with the Titan Email Survey
The survey has come straight into Amit’s inbox, where he can interact with it immediately.
As he answers a question, viewers can see the process is immediately completed by clicking on a rating question. Amit’s response is inserted directly in the email and has been pushed to Salesforce.
Simultaneously, Amit now has access to the Finish page, which has a little Thank You message for engaging in the survey.
What does the data look like in Salesforce?
Titan pushes all your critical data into Salesforce. Here are a few items that you can view immediately with email surveys:
Some key features from Titan Email Survey
Distribution Methods
The distribution methods provided by Titan include:
These distribution types are unique because, in many other systems, people will have to export data from Salesforce first. Then, data needs to be pushed into the new system and possibly sent to a different one per your business requirements.
This transfer of data between many systems is not safe. Do you know what your data is used for at all times?
You no longer have to export data from Salesforce into a new server tool with back-and-forth data transfers. Titan can sync your Salesforce data seamlessly for you. You can filter your population and choose a report, list view, or object with Titan’s filtering system with just a few clicks! And all that’s left to do is distribute your survey.
Titan keeps your data under one platform with no code whatsoever! Keep your data safe with the distribution feature in Titan, where you always stay inside Salesforce.
Survey Flow
You will use Survey Flow for your surveys that have conditional logic. Titan offers a flow with two views, custom or default, for web and email surveys. These two view options are used to manipulate survey slides based on previous responses.
Admins can access Survey Flow through the flow icon in the Titan Survey builder. You can access either the Default Flow or Custom Flow option for your project after clicking the flow icon.
Amit demonstrates how to use the Custom Flow feature in the webinar. The Custom Flow feature allows admins to add different slides and write conditions. The best thing about the flow feature is that it gives the ending and middle slides flexibility.
For example, a simple survey includes a rating question, such as “How was the meeting?” and an end slide with text that states, “Thank you for sharing your great feedback. I was happy to meet you as well.“ With Titan, responses can influence which end slides are showcased.
For instance, a high rating response can elicit a positive feedback message. In contrast, a low rating response can draw a different end slide requesting another meeting to solve customer issues.
Essentially, Titan can customize the flow and create better engagements for your users.
The flow is effortless to build in Titan. The method includes specifying how many questions you have in your survey and setting up conditions. If you are unsure about flows and need to watch a video on how to set it up in Titan, please visit our Titan Academy.
