The Challenge

When it comes to providing quality healthcare to patients, we know time is essential. With Titan, you can save loads of time by automating processes for Health Cloud, and use it on treating patients instead of working on manual tasks.

The Use Case

Amit Midha, a partner at Titan, was approached by a customer for help with a custom Salesforce solution. The customer originally collected patient data from a PDF and manually entered it into Salesforce. 

Here are a few of the tasks the customer had to endure before turning to Titan:

The customer was swamped with collecting patient data via PDF on an enrollment and eligibility form. The form collected patient information like names and special requirements.

The form displayed the HIPAA Regulation Right and a waiver of liability, which the patient had to read and physically sign with a pen.

The customer had to manually enter patient information from this lengthy form into Salesforce to capture the data.

Sometimes, the customer uploaded the PDF without inputting data into Salesforce because these tasks created a lot of headaches.

When data was not entered correctly, Salesforce could not use AI and automation capabilities to its full potential.

Signed documents were stored without being linked in Salesforce.

When documents are stored as PDFs, reports cannot be created correctly.

The customer had to manage protecting sensitive information. Security was a concern for the customer as there was no HIPAA compliance or any robust security for Protected Health Information (PHI).

You can see from these points that the data-collecting process was super cumbersome. But that’s the old way of doing things

The Solution

When the customer worked with Titan, she could put her time to better use. She approached Amit and asked for a solution that could be integrated directly into Salesforce so she did not have to handle all these individual and manual tasks. 

Titan was amped and found absolutely no issues with this problem. We could start building the project instantly to transform the client’s intake forms via e-sign. The whole process also integrated with Salesforce in real-time.

Here is a list of what Titan and the customer were able to accomplish in just a matter of days:

The elements found in the original PDF are available in the new form. 

Input data from buttons and various validations for different data types were configured.

Titan created a form with fields neatly aligned with just clicks and no code.

The form is compatible across all device types.

End-users find filling out the form super simple as they just have to click on options relevant to them.

When a patient clicks the Next button, the data is pushed directly to Salesforce while they are navigated to the HIPPA Regulation Rights page.

The end-user can sign the document with electronic signature functionality and click on the Next button.

When the customer takes a look at Salesforce at this point, she finds the signature in Salesforce.

The sensitive patient data in transit is fully HIPAA-encrypted and secure.

Signed documents are stored in Salesforce with related records created. Titan returns all data and files to Salesforce.

The customer has access to full audit tracking. This is useful to find out when the document was sent, viewed, and completed.

Reporting on data is now accurate, available, and achievable.

Results

With Titan, the customer was able to get rid of PDFs, reduce manual data entry, and store data in Salesforce in real-time.
