Use Case: Salesforce Quotes

A sales team wanted to generate professional and elegant quotes prefilled with Salesforce data. Usually, their organization needed to create this type of document from scratch. This was a time-consuming task and typically took many hours to complete. The following information needed to be included in a quote:

The Solution

The sales team knew there had to be a better way of manually creating templates and calculating prices in quotes. After searching on AppExchange and consulting their in-house Admin, they decided to try Titan, which has hundreds of 5-Star ratings on Salesforce’s biggest marketplace.

With Titan, the in-house Admin could effortlessly create a template, enabling the sales team to generate quotes whenever needed. The quotes could be generated and delivered to clients in minutes, saving the business time, resources, and money.

The Quote

Titan empowered the Admin to create a quote dynamically synced with Salesforce data, namely the company’s Opportunity and Opportunity Products information. Once, the document was set up, the sales team could simply click on the Document Generation button in Salesforce to create a new quote. No fuss and no manual work required!

This solution saves the sales team hours and hours every month. This is especially considering they can also generate multiple documents with the list view feature if required.

How the Document is Built

Building the quote requires less effort than hitting the snooze button on your morning alarm. If you know how to turn on a computer and type, you can use Titan’s Word Add-In for Salesforce quotes, it’s that simple!

Intuitive fields in Word grab the account name and address from the Opportunity object in Salesforce and place this data into the quote.

These newly created tags in the Word document can be shortened, modified, or adjusted. Once the fields have been established, modifications can be made to the tags, such as:

The Admin can add the contact’s name and address to the quote by adding fields to the Word document, then selecting the Opportunity object, and the Primary Contact.

This is an excellent example of how Titan can pull relationships into a document.

Last but not least, the Admin can add a system field to pull in any data type. In this instance, the Admin chooses a system field to bring in the date and time information in a specific format.

That’s the header section done! Product relationships are effortlessly added to the quote. With Titan, the Admin can easily pull all the dynamic data for products from Salesforce into the document.

A table can be added to the document to display multiple records neatly. When configuring the table, the Admin chooses the Opportunity Product object and then selects fields:

The Admin also clicks on the Format option in the Word Add-In to select a currency for the prices in the quote. The Admin can then modify the tag names in the table and make the table columns wider.

The final field for the Admin to tackle is the Total Amount. To do this, the Admin adds a field to the document, selects Amount from Salesforce, and configures the currency format.

Before using the Doc as a template, the Admin checks everything looks good by clicking the Preview Now button. Then, the Admin heads to Salesforce to test the data is working correctly. After this, the document can be deployed in one click.

And that’s it! In minutes, the Admin created a document template using dynamic Salesforce data. The sales team is smiling and this Salesforce Admin can clock off early every Friday! It’s all done with point-and-click actions and does not require any syntax queries.

Now that the Admin has deployed the document template, the sales team can execute it within Salesforce using a button or list view.
