What are Track Changes in Word?

The Track Changes feature in Microsoft Word allows you to collaborate on documents while keeping track of all the changes and edits made to the document. This feature is perfect if your documents are going through the proofreading and editing process as multiple people are able to work on the same document simultaneously and easily track the history of the document. In this article, you’ll find out how to turn on, hide, and turn off track changes in Word.

How to Turn on Track Changes

Enabling the Track Changes feature in Microsoft Word is an easy process. We’ve outlined the steps to follow if you want to use this feature for your documents.

First up, you’ll need to have your document open in Microsoft Word. Navigate to the Review tab, if you are having trouble finding it, it’s in the top ribbon. Once you are in the Review tab, locate the Track Changes options. To enable the feature, you’ll need to click on it and the button will appear highlighted.

Once Track Changes is enabled, any changes, edits, or revisions are tracked and marked. This includes changes like formatting, insertions, and deletions, each change uses a different color. If the standard tracking options aren’t quite cutting it for you, you can customize how the changes are displayed by using the small arrow located in the Track Changes group. The changes are also tracked per author so you can see each separate contribution made to the document.

It’s vital that you periodically save your document to ensure all your revisions are tracked. Once all changes have been made, you can go through each comment and use the Accept/Reject options to finalize which changes you want to apply to the document.

How to Delete Track Changes in Word

To remove the comments from your document in Microsoft Word, you’ll need to navigate to the same Review tab where you enabled the tracking option. If your Track Change button is highlighted, then click the button again to turn this feature off.

You may also want to know how to remove track changes in Word permanently – you will need to go through all the changes and decide whether you want to Accept or Reject them. The changes will be automatically removed as you move through the document.

How to Hide Track Changes in Word

If you want to hide the changes without Rejecting or Accepting them, you can do this by changing the markup options. Simply click the small arrow located in the Track Changes section, this will open more options. In the dropdown menu, click the Display for Review option. There are options for how to want to display the markup; all markup, no markup, simple markup, or original.

No markup will hide all the changes showing you a clean version of the document, the changes will be saved in your document, they just won’t display. All Markup shows all the tracked changes, simple markup is a simplified view that displays changes but won’t display the markup continuously. The original option will show your original document without any changes.

Once you’ve hidden or resolved your tracked changes, make sure you save the document to ensure you keep your configured settings and produce a document without any markup.

How to Stop Tracking Changes in Word

If you no longer want the changes tracked, navigate back to the Review tab where you first enabled the Track Changes feature. Disable the feature by clicking on the highlighted Track Changes button. Once you have disabled the feature make sure you save the document which will store all the revisions without displaying them.

How to Remove Comments in Word

Removing tracked changes in Word is a simple and easy process.

Make sure you can see all the comments, by navigating to the Review tab and locating the comments section. Use the Next and Previous options to navigate through the comments in the document. Once you have located the comment you want to delete, right-click on it and choose the Delete Comment or press the delete key on your keyboard. To delete all the comments, repeat the same process.

Keep in mind that once you have removed comments and tracked changes in your document, they cannot be retrieved unless you have a backup of the original so make sure that you save each revision of your document.

How to Remove the ¶ Icon in Word

The “¶” icon in Microsoft Word is commonly referred to as the paragraph mark or pilcrow. This formatting tool shows the ends of paragraphs, spaces, and other formatting elements. Typically it won’t be included when printing the final version of your document and is only used to ensure consistent formatting in your document.

Depending on the version of Microsoft Word you have on your desktop, the ¶ symbol is located in different tabs in the top ribbon. Once you have located the symbol, click on the highlighted button to disable this feature. You will notice that all formatting symbols no longer be displayed in your document.

Remember you can easily enable the same feature again to create a visual reference when formatting your document.
