How Salesforce Conditional Field Visibility Works

Updated: Sep 27th, 2023

You might want to use conditional field visibility in Salesforce so you can decide which fields you would like to view or hide on a specific record page. Many businesses like to set up Salesforce conditional field visibility for a more precise, decluttered view of their record pages so that they have a user-friendly experience and can easily find the data that they are looking for with a quick glance. You can simply use the Dynamic Forms from Salesforce to configure your conditional field visibility.

Setting up Field Visibility
Setting up Field Visibility

So as promised, let’s take a look at how conditional field visibility works in Salesforce below:

Complete your Dream Layout with Dynamic Forms

First off, you get the Dynamic Forms feature from Salesforce’s Lightning App Builder. This feature can help you to create and design the layout of your record pages. Go ahead and use the Salesforce Dynamic Forms feature to arrange all your fields exactly where you want them on a record page, and then configure your visibility rules. The visibility rules that you set up will control which sections will appear on your record page.

Conditional Field Visibility for Maximum Control

Next up is to set your visibility rules for individual fields with Dynamic Forms. During this step, you can state your conditions to control whether a specific field is visible or not on your record page. You can set up your Salesforce conditional field visibility based on other factors, too, like other field values, user profiles, Salesforce record type visibility, or other data of your choice.

Salesforce: Hide Field Based on another Field

You can totally hide a field based on other fields on your record page, as discussed above. We highly recommend giving this feature a try, as the benefits of hiding fields on a record page based on values or conditions of another field include elevating your Salesforce user experience, eliminating errors from manual data entry, and giving you access to dynamic page layouts that are relevant to specific profiles!

And you are good to go! Take a look at your new record page layout.

An Example of Conditional Field Visibility

A typical case for setting up Salesforce conditional field visibility for many users is to have a custom object such as Contacts that will display an extra field only when then the Contact is set to “Sales Rep Assigned. ” As you can imagine, the visibility rule should state, “Show ‘extra field’ only when ‘Contact’ equals ‘Sales Rep Assigned.’ “

Using Salesforce conditional field visibility is a great way to streamline data entry workflow processes for your teams, simplify record pages for faster data analysis, and an overall enhanced user experience.

Exploring Component Visibility in Salesforce

Just like controlling the visibility of your fields and sections, you can also control the visibility of your components and elements on a record page. There are so many ways to set up whether a component is displayed or not, and these decisions greatly impact how personalized your record pages will be. You can also set the visibility of components to be different on record pages depending on user profiles, record types, and other important factors. To make sure that your record pages are easy-to-use, decluttered, and only present relevant data to specific users, you can set up component visibility in Salesforce.

How do I Set Component Visibility in Salesforce?

Here are 6 ways listed that you can use to easily set up component visibility. Choose the one that meets the needs of your business requirements:

Use page layouts to choose where to place you your fields, related lists, or components. And remember to also set their visibility options too. An added benefit of page layouts is that you build numerous ones and assign them to various user profiles or record types. Use this strategy when you want to make only relevant fields or components available to certain users.

Alternatively, you could use the Lightning App Builder to create and design Lightning record pages. The advantage of choosing this method is that you get to use drag-and-drop component functionality when creating your Lightning record pages. With the Lightning App Builder, you can decide which of your components, user profiles, or device types you would like to show or hide based on record field values.

Use Record types if you want to manage different sets of page layouts, picklist values, or business processes for objects. When you connect page layouts and record types, you have the power to show or hide components for numerous record types.

Use Visualforce Pages or Lightning Web Components to show or hide your components based on logic and user permissions.

If you are a Salesforce administrator, you can also control the visibility of your fields with permission sets or objects based on user profiles. Salesforce administrators have access to this security feature so that they can keep sensitive information safe and control who has access to it.

As a Salesforce administrator, you can use permission sets to grant more access to user profiles. For example, you can create a permission set that displays a component to specific users without the need to edit their profile.

Why is my Salesforce Field not Showing on Page Layout

There are many reasons why a Salesforce field is not showing on a page layout. We provide 4 popular ones below, but let us know if you have found any other causes that we need to be aware of:

Cons
Your Salesforce field might not actually be added to a page layout. It’s one of the most common reasons why a field might not be displaying. We recommend double-checking that a field is added to the page layout.
Cons
The next reason for a field not displaying is that a user profile does not have permissions granted to view it. The field-level security settings provided by Salesforce allows administrators to choose which profiles can view fields. We suggest asking your administrator to set your fields to “Read Only“ instead of “Hidden“ so that fields can be displayed.
Cons
Do you use record types in your business? If you do, you want to check that the field is set to visible for that record type so that it displays correctly on your page layout.
Cons
If you are struggling to find your fields in a compact layout, you need to check that your field is added to it. Compact layouts only show key fields to let you obtain information quickly. So if you want to see your fields that are on your full page layout, add them to the compact layout.

Salesforce | Remove Field from Report Type

And our last point on fields concerns removing a field from a report type. We just ask you to be super careful and highly suggest you think about this action before implementing it. Report types are usually connected to other reports and dashboards. As you can imagine, if you remove a field, it might impact your other data reports in severe ways, such as data loss and broken reports.
