Use Web Project Fields in a Word Template

Use fields from a Titan Web project in a Word template to transfer user input directly into a generated document. The Web project data does not need to be saved in Salesforce before you generate the document.

You can insert text, email, phone number, image, and single-value checkbox fields. You can also control how each field appears in the generated document.

When to Use Web Project Fields

Use Web project fields when you want to:

• Generate a document using information entered in a Web form
• Include user-provided images in a document
• Display selected checkbox values using a checkmark or a cross
• Generate documents without first saving the Web project data in Salesforce
• Apply consistent formatting to Web project data in a Word template

Before You Begin

You need:

• An active Titan Web project
• The fields that you want to include in the document have been added to the Web project
• The Titan Word add-in is installed and connected
• Permission to create and publish Word templates
• A button or another element in the Web project that can run the Document Generation action

In this example, the Web project contains name, email, phone number, image, and checkbox fields.

Insert Web Project Fields Into the Word Template

Add each Web project field where you want its value to appear in the generated document.

1. Open the Word template and place your cursor where you want to insert the field.
2. In the Titan Word add-in, select Insert/Edit Field.

3. Select the Web Project radio button. This option lets you access fields from a Titan Web project rather than Salesforce fields.
4. From the Project list, select the Web project containing the field.
5. From the Page list, select the page where the field is located.
6. From the Field list, select the field that you want to insert.

7. If the field does not require additional formatting, select Insert.
8. Repeat these steps for each Web project field that you want to include.

The fields are added to the Word template at the selected cursor positions.

Configure a Field’s Format

Formatting controls how the Web project value appears in the generated document. For example, you can change the text capitalization, remove margins, or specify how an uploaded image is displayed.

1. On the Insert Field screen, select Configure Format.

2. From the format list, select the required option. Available options depend on the selected field and may include:
   • Lowercase
   • Capitalize
   • Image
   • Remove margins
3. If required, use the available checkboxes to control:
   • Alignment
   • Right-to-left text direction
4. Select Apply to save the format settings.

5. Select Insert to add the formatted field to the template.

Configure an Image Field

Use the image format when the Web project allows users to upload or provide an image. Setting the image dimensions helps keep the generated document layout consistent.

1. Select the image field from the Web project.
2. Select Configure Format.
3. Select the Image format.

4. Enter the required image width and height.
5. Select Keep Aspect Ratio to prevent the image from appearing stretched or compressed.
6. Select Apply.
7. Select Insert.

Configure a Single-Value Checkbox Field

Insert a single-value checkbox to indicate whether a user selected an option in the Web project. You can display the selected value using either a checkmark or a cross.

1. In the Word template, place your cursor where you want the checkbox value to appear.
2. Select Insert/Edit Field.
3. Select the Web Project radio button.
4. Select the relevant Project and Page.
5. From the Field list, select the single-value checkbox element.
6. Select one of the following display formats:
   • Checkbox Format ✕
   • Checkbox Format ✓
7. Select Insert.

When the template is generated, the document displays the checkbox using the selected symbol.

Publish the Word Template

Publish the template to the Web project so that it becomes available when you configure the Document Generation action.

1. In the Titan Word add-in, select Publish.
2. Select the Web radio button.
3. Select the Web project containing the fields used in the template.
4. Select Publish Template.

If the template does not use Salesforce data, a confirmation message states that the document can be published without a Salesforce Record ID.

5. Select Yes.
6. When the upload finishes, select OK.

Add the Document Generation Action

Configure a button in the Web project to generate the document based on the user’s input.

1. Open the relevant Titan Web project.
2. Add a button or select the button that users will use to generate the document.
3. Configure the button’s On Click action.

Configure the Document Generation Settings

Select the published Word template and define what Titan should do with the generated document.

1. Select the Gear icon next to New.

2. Find the published Word template and select its Edit icon.

3. Select Next to continue to the variable settings.

4. Select Add Variable.
5. Select Page from the list. A page variable stores a value for use while the user remains on the Web project page.

6. Select Add a Static Variable and create the variable required by the template configuration.
7. Select Next.

8. From the variable list, select the variable used for Record ID.
9. Select Apply.

When the template does not retrieve Salesforce data, this variable provides the value expected by the Document Generation configuration without requiring the user’s Web form data to be saved to a Salesforce record.

10. Configure the required document action, such as Download.
11. Select Next.

12. Close the Configure Project Document Generation Settings screen.
13. Select the required Template.
14. Select the configured Action.

15. Select Next.
16. Add a tag if required.
17. Select Insert.
18. Select Apply to save the On Click action.

19. Save the Web project.
20. Select Preview to test the document generation process.

Expected Result

When a user completes the Web form and selects the document generation button, Titan transfers the configured field values to the corresponding fields in the Word template.

Titan then performs the configured action. For example, if you selected Download, the populated document is downloaded to the user’s device.

Frequently Asked Questions

Does the Web Project Data Need to Be Saved in Salesforce?

No. Titan can transfer field values directly from the Web project to the Word template. You only need to save the data in Salesforce if it is required by another part of your process.

Can I Use Salesforce and Web Project Fields in the Same Template?

Yes. You can insert Salesforce fields and Web project fields into the same Word template. The Document Generation configuration must provide the Salesforce Record ID when the template retrieves Salesforce data.

Which Web Project Fields Can I Add to a Word Template?

You can add supported fields from the selected Web project page, including text, email, phone number, image, and single-value checkbox fields.
