Add and Use Hidden Fields in the Titan Word Add-In

Overview

Hidden fields let you bring values into a Microsoft Word document template without displaying those values in the generated document. You can then use the hidden values to control which text, fields, or tables appear.

For example, you can show a payment section only when an Account Status hidden field equals Overdue, or display regional terms based on a value captured in a Titan Web project.

This article explains how to:

• Create static, Titan Web, or Salesforce hidden fields.
• Add conditions based on the values of hidden fields.
• Preview and test the conditional content.

What Are Hidden Fields?

A hidden field stores a value that can be used by the document without appearing in its content. The field can provide a fixed value, reference a field from a Titan Web project, or retrieve data from Salesforce.

You can use hidden fields to:

• Control whether content appears in a generated document.
• Compare Salesforce or Titan Web values in conditional logic.
• Filter Salesforce Get actions used by the document.
• Reuse the same value in multiple conditions.
• Keep values available for processing without showing them to the recipient.

Hidden Field Types

Choose the hidden field type based on where its value comes from.

Before You Begin

Make sure that you have:

1. Installed the Titan Word add-in.
2. Signed in to the Titan Word add-in.
3. Opened the Word document template you want to configure.

Add a Hidden Field

1. Open the document template in Microsoft Word.
2. Select the Form Titan tab in the Word toolbar.
3. Select Manage hidden fields.

The Manage hidden fields screen opens. This screen lists the hidden fields already configured for the document.

4. Select Add field to create a hidden field.

5. Enter a unique name in the Name field.
   Use a name that identifies the value and makes the field easy to recognize when you create conditions. For example, use Account Status instead of a generic name such as Status.
6. Select the field type:
   • Static
   • Web
   • Dynamic
7. Complete the settings for the selected field type.

Add a Static Hidden Field

Use a static hidden field when the condition should reference a fixed value that does not come from Salesforce or a Titan Web project.

1. Select Static.
2. Enter the required value in the Value field.
3. Select Save.

Add a Titan Web Hidden Field

Use a Web hidden field when the document condition depends on information captured or displayed in a Titan Web project.

1. Select Web.
2. Select the Titan Web project containing the required field.
3. Select the page on which the field appears.
4. Select the field whose value you want to use.
5. Select Save.

Add a Dynamic Salesforce Hidden Field

Use a dynamic hidden field when the condition depends on data from a Salesforce record.

1. Select Dynamic.
2. Select the Salesforce object, such as Account.
3. Enter a description in the Comment field.
   The comment helps other template editors understand what the hidden field is used for. It does not appear in the generated document.
4. Select the Salesforce field, such as Account Number or Account Status.
5. Select Save.

The hidden field is now available for conditional logic, and Salesforce Get filters are in the document.

Add a Condition Based on a Hidden Field

After creating the hidden field, add a condition to the content you want to show or hide.

1. Add the required content to the Word document.
   You can apply the condition to static text, a dynamic field, a table, or multiple selected elements.
2. Highlight the content that the condition should control.
3. Select Insert/Edit conditions from the Form Titan toolbar.
   The Insert Conditions screen opens.

4. Select the first value to evaluate. Available sources can include:
   • Hidden field: Uses one of the hidden fields configured for the document.
   • True: Uses a true Boolean value.
   • False: Uses a false Boolean value.
   • Object: Uses a Salesforce object or field already added to the document.
   • Other: Uses a value entered directly in the condition.
5. Select the hidden field you want to evaluate.

6. Select the comparison operator. Available operators depend on the selected field and can include:
   • Equals
   • Not equal
   • Contains
   • Not contain
   • Includes
   • Excludes
7. Select the value against which the hidden field should be compared. You can select:
   • Another hidden field
   • True
   • False
   • Other
8. If you select Other, enter the comparison value in the field provided.
   
   Enter the value exactly as it is expected from the source. Differences in spelling or formatting may cause the condition to return false. 

9. Select Insert.
   Titan adds red condition brackets around the selected content in the Word template.

Preview and Test the Condition

1. Preview or generate the document using a test record or Titan Web submission.
2. Check the content controlled by the condition:
   • If the condition is true, the content inside the IF brackets appears in the generated document.
   • If the condition is false, the content inside the IF brackets is omitted.
3. Test records that produce both true and false results.

Testing both outcomes confirms that the hidden field receives the expected value and that recipients only see the correct content.

Frequently Asked Questions

Do Hidden Fields Appear in the Generated Document?

No. Hidden fields provide values for document processing, but are not displayed in the generated document unless you separately insert the same value as visible content.

Can I Use a Hidden Field Without Adding a Condition?

Yes. You can also use hidden fields to filter Salesforce Get actions configured for the document.

Can I Compare Two Hidden Fields?

Yes. When configuring the condition, select a hidden field as the first value and another hidden field as the comparison value.

Why Is My Conditional Content Not Appearing?

Check that:

• The hidden field is connected to the correct source.
• Either the Salesforce record or the Titan Web submission contains a value.
• The comparison value uses the expected spelling and format.
• The selected operator is suitable for the field type.
• The document was tested using the correct record or submission.

Can I Apply a Condition to a Table?

Yes. Select the table or the required table content before opening Insert/Edit conditions. Preview the document afterward to confirm that the table layout remains correct when the content is omitted.
